AI consulting that starts with a Discovery of one process

AI consulting at Conceptech starts with a Discovery: we map one of your processes with real examples, measure the baseline, design the agent's flow and estimate the return on investment.

Discovery is a fixed fee, credited to your first months of monthly care

For
Business owners and operations or plant managers with one process that eats hours every week
You get
A Discovery report: process map, flow design, ROI estimate and a fixed quote for setup
Fee
Fixed and agreed up front, credited toward your first months of monthly care

Example: quoting

What does a process look like when an AI agent runs it?

A machine shop gets a request for a quote with a drawing attached. Here's how it runs today, and how it runs when an agent does the groundwork and the owner approves.

Illustrative walk-through

Today

The owner, by hand, often in the evening

  1. Reads the request and opens the drawing
  2. Searches old folders for similar past jobs
  3. Works out material, setup and machine time
  4. Writes the quote and sends it when there's time
  5. Remembers, or doesn't, to follow up days later

With the agent

  1. AgentPDFReads the email and the drawing: material, dimensions, tolerances, finish, quantity
  2. AgentFinds similar past jobs and the prices you quoted for them
  3. AgentPDFEstimates material, setup and machine time from your rates; drafts the quote with reasoning
  4. YouYou approveYou approve, edit or reject it in one tap
  5. AgentEmailThe quote is sent and logged, and a follow-up reminder is set
Who drafts the quote
Today: The owner, from scratch
With the agent: The agent drafts; the owner approves
When the customer hears
Today: When there's time, sometimes days later
With the agent: As soon as you approve the draft
What's kept for follow-up
Today: Whatever the owner remembers
With the agent: Every quote logged, follow-up set automatically

Fit

Which process is a good fit for Discovery?

A good fit meets most of these criteria. Irreversible actions without approval, and decisions with legal liability, aren't a good place to start.

  • It repeats every week

  • It runs on text, documents or data

  • A person can check the result

  • It holds up money or customers

  • There are past examples

Discovery

What do you get from a Discovery?

A fixed-fee, fixed-scope first step: one process, one report you can act on, and the fee is credited toward your first months of monthly care if you continue.

What you bring

  • One process owner who knows the work and can go through examples with us
  • 20–100 real past examples, such as emails, quotes or invoices, sanitised if needed
  • Read access to, or exports from, the documents and systems the process uses
Fee
Fixed and agreed up front, in a written proposal
Credit
Credited toward your first months of care, if you go ahead with setup
Data
NDA on request; examples can be sanitised
Monthly care
Cancel any time with one month's notice, no minimum period

Our approach

Why do we start with your most complex process?

The goal: take one process your team already works on, and make it significantly better. We want the businesses we work with to succeed and grow.

We look for improvement on two axes:

  • Time and effectiveness: how long each case takes to handle, and how well it's handled
  • Spend: what the business spends on running that process

We take on your most complex process. Discovery is our introductory step, yet we deliberately choose the hardest task, because we believe in what we do and want you to see the results in your business. Where there's room to improve, we fine-tune with you until it fits your workflow. And if you decide it isn't for you, you can cancel the monthly plan any time with one month's notice, with no minimum period.

Method

From Discovery to a working agent: five steps

Each step has a deliverable and a gate. The agent gets more autonomy only when the criteria we agreed in writing are met, and the length of each step is estimated in Discovery.

  1. 01

    You start here

    Discovery

We map one process using 20–100 real examples, design the agent's flow and estimate the return on investment.

    No agent yet

Gate: You decide whether to go ahead with setup

  2. 02

    Baseline

We measure how long each task takes today, how many there are each week, the error rate and how long customers wait for an answer.

    No agent yet

Gate: You approve the baseline and the targets

  3. 03

    Build

We build one flow at a time, in a test setup. Anything irreversible gets an approval step, and every action the agent takes is logged.

Agent drafts in a test setup

Gate: The agent passes the test set on real examples

  4. 04

    Shadow mode

The agent runs alongside your team and drafts, but nothing goes out to a customer or a system. Each draft is compared with your team's work, for a period set in the Discovery report.

Runs alongside your team, sends nothing

Gate: Written criteria, for example: at least 70% of drafts approved without edits, and zero critical errors

  5. 05

    Go-live

The agent acts and follows up automatically, and you approve the key steps. Autonomy widens only while most drafts are still approved without edits.

Agent acts; you approve key steps

What you get at the end of each step
Discovery
Discovery report: process map, flow design, ROI estimate and a fixed quote
Baseline
Baseline figures the agent is measured against
Build
A working agent in a test setup, with an action log
Shadow mode
A side-by-side comparison of agent drafts and team work
Go-live
Monthly report: tasks done, time saved, errors caught at approval

Illustrative scenarios

What could it look like in a business like yours?

Three scenarios based on common processes. In each one the agent prepares the work, and a person approves it before anything goes out.

  • Illustrative example

    Small CNC machine shop

Quotes from drawings, approved by the owner

Every request for a quote means reading a drawing, finding similar jobs and calculating, usually in the evening. A slow reply loses the job.

    1. RFQ arrives by email
    2. Drawing read
    3. Similar past jobs
    4. Draft quote
    5. Owner approves(human approval)
    6. Sent, follow-up set

The aim: Quotes go out the same day instead of after several days, and no price is sent without approval

    Typical plan: Growth

  • Illustrative example

    Plant with several production lines

From a floor report to an NCR draft

Non-conformance reports get written late or incomplete, from a note or a phone photo. Quality staff spend their time on paperwork instead of the problem.

    1. Text or photo report
    2. Structured NCR
    3. SOPs and past CAPAs
    4. Draft root cause
    5. QA signs off(human approval)

The aim: Less paperwork for quality and maintenance, and NCRs opened on time and complete

    Typical plan: Industrial

  • Illustrative exampleTemplated package

    Café, single branch

Daily supplier order from till data

The owner puts the supplier orders together at the end of a shift, from memory and scraps of paper.

    1. Sales from the till
    2. Current stock
    3. Draft supplier order
    4. Owner approves(human approval)
    5. Order sent

The aim: Orders go out on time without an evening at the desk, with fewer shortages and less overstock

    Typical plan: Templated package

  • Which process eats your week?

Quotes, invoices, reports or customer replies: tell us what it is, and we'll check whether it suits a Discovery.

    Describe your process

After Discovery

What comes after Discovery?

If you continue, each workflow is priced on its own: a one-time setup and a fixed monthly care fee. You pay the language-model usage directly.

Discovery

A Discovery of one workflow: we map it, measure it, design the agent and estimate the return on investment.

  • Process map and baseline
  • Agent flow design and approval points
  • Return-on-investment estimate
  • Fixed quote for setup and monthly care

Credited toward your first months of monthly care

Start with a Discovery

Fixed fee, agreed up front in a written proposal

  • 01

    Starter

    1 workflow

A business handing one daily workflow to an agent, such as quotes, invoices or follow-ups

  • 02

    Growth

    2–3 workflows + ERP

A business with several related workflows that needs the agent to work with its ERP and a knowledge base

  • 03

    Industrial

    Scoped per site

A plant with several lines that wants agents between the floor, quality, maintenance and the ERP, in phases

How billing works

  • Per workflow: a one-time setup plus a fixed monthly care fee
  • A fixed price per workflow, agreed after Discovery and before any build work
  • Model usage is billed by the provider to your own account, so you see every charge

Discovery FAQ

What is a Discovery?

Conceptech Engineering's Discovery is a fixed-fee, fixed-scope first step: we map one process in your business, measure what it takes today, design the AI agent's flow and estimate the return. The fee is credited toward the first months of monthly care.

At the end you get a Discovery report: process map, baseline figures, agent design, ROI estimate, draft go-live criteria and a fixed quote for setup and care.

How much is a Discovery, and how does the credit work?

A Discovery has a fixed fee, agreed up front in a written proposal after a short first conversation about the process. If you go ahead with setup, the fee is credited toward your first months of monthly care, so those first months are covered by what you've already paid.

The AI pilot starts here too: the same Discovery, included in the pilot. Outside the pilot it's a fixed fee, credited toward your first months of monthly care.

What an AI agent costs, and why

What if the agent turns out not to be right for us?

We don't look for an easy process to show a quick win. In a Discovery we deliberately pick your most complex process and measure the baseline, so you can see the effect on your business in your own figures. Where something doesn't fit well, we fine-tune and improve it with you until the agent fits your workflow.

Whether to go ahead with setup is your decision, made from the report. And if you later decide it isn't for you, you can cancel the monthly plan any time with one month's notice, with no minimum period.

What do you need from us?

Mainly the process owner's time, and examples. We ask for 20–100 past cases, such as emails, quotes, invoices or reports, plus exports or read access to the documents and systems the process uses. Identifying details can be removed from the examples, and we sign an NDA on request.

How do we know if our process suits an AI agent?

A good process repeats every week, runs on text, documents or data, and has a result a person can check and approve. Better still if it holds up money or customers, like quotes and invoices, and if there are past examples. If the process isn't a good fit, the Discovery says so.

How is sensitive data handled during Discovery?

We sign an NDA on request, and names, prices or identifying details can be removed from the examples before they reach us. The examples are used only for the Discovery work. For sites where the data is sensitive, the agent itself can later run on local models on your own servers, so the data never goes to an outside provider.

How is Discovery different from general AI consulting?

A Discovery covers one process and ends with a report you can build from: an ROI estimate, a detailed flow design and a fixed quote. Its fee is credited toward monthly care, and the company that designed the agent also builds it, runs it in shadow mode and looks after it once it's live.

AI agent implementation

Do we need special systems to start?

No. For many workflows, email, Excel or Google Sheets and a shared folder are enough. An agent can also connect to an ERP, such as Priority or SAP Business One, through its API, and feasibility for your version is checked during Discovery.
